How to Share Google Drive Files Safely: Roles and Link Settings

- Prefer Restricted access and add specific people instead of sharing a public link.
- Viewer, Commenter and Editor have different powers. Give the lowest role needed.
- Folder permissions apply to every file inside the folder.
- Sharing a link shows your name and email as the owner.
A shared link can be handy or risky depending on its setting. This guide explains the choices in Google Drive so you can share without exposing private files. Basics are in the Drive guide.
Sources and accuracy
Based on Google's Drive Help page "Share files from Google Drive" and the short Drive sharing overview (read October 2026). Work and school accounts may have admin restrictions, so options can differ. We did not test this ourselves.
How to share (computer)
- Go to drive.google.com and click the file or folder.
- Click Share.
- Add people by email or choose general access.
- Pick a role and confirm.
Roles explained
| Role | What they can do |
|---|---|
| Viewer | View and download (the owner can turn downloading off). Cannot comment, edit or share. |
| Commenter | View and comment. Cannot edit or share. |
| Editor | View, comment and edit. Can share, but cannot transfer ownership. |
| Owner | Full control, including sharing and permissions. |
General access
- Restricted: only people with access can open it.
- Anyone with the link: anyone who has the link can use it, even without signing in.
- Public: anyone can find the file through Google Search and open it. Avoid this for private files.
Safer sharing habits
- Start with Restricted and add people individually.
- Pick Viewer unless someone must edit.
- Do not share passwords, ID documents or financial files through public links.
- Put files in a separate folder if they need different access, because folder permissions apply to everything inside.
- Use advanced sharing settings to stop editors from changing permissions or sharing, and to stop viewers and commenters from downloading, printing or copying.
- Remember sharing a link shows your name and email as the owner. People not signed in appear as anonymous animals.
Stop sharing
Open the Sharing dialog and change or remove a person's permission. A file published to the web must be unpublished separately, since that is different from general access.
Frequently asked questions
Can someone forward a link? If general access is Anyone with the link, yes.
Can I set an expiry date? Google says eligible work or school accounts can.
Why can't I share outside my organization? Your administrator may restrict it.
